What is Metadata?

Metadata of files, is essentially information about files but not about the content but about characteristic of the file, to describe, organize, archive, or whatever is required, is not really limited.

Example: A text Message “3 sms”, about a wife telling a husband about her day in the office. The metadata could be “date”, “time” when the SMS was sent, when the SMS was received, size, number of characters, was a formal message, informal message, and so on. There is information about the message itself, but not about the content of the message, that is metadata.

Some types pf Metadata , could be:

  • Descriptive
  • Structural
  • Administrative
  • Reference
  • Statistical
  • Legal

Some Elements:

Fields

Fields to store metadata.

Examples of fields include names, dates, numbers, and currency.

Links

Links are normally used to associate files with each other.

An example could be, recommendation letters may file letters in an “recommendation letters” folder for all “letters” received from candidates.

Versions

Version of sometimes the same file, or for tracking modifications

Tags

Examples: Favorites, Recruiting, Payroll, Accounting, etc and all documents related to the specific topic.

Digital signatures

Additional filter to distinguish between signed and non-signed files

Templates

A template is essentially a set of tags, or categories or other metadata to normally automate document creation.
